When a supplier package arrives at our warehouse:
- Take 3-4 clear photos from different angles showing:
- Original packaging condition
- Visible labels and shipping information
- Any existing damage or irregularities
- Record reception date and time in Column C of the spreadsheet
- Upload photos to the shared drive, naming files as:
OrderID_Reception_Date.jpg
Step 2: Quality Inspection Phase
During the unpacking and verification process:
- Document item condition with close-up photos of:
- Product tags and labels
- Manufacturing details
- Any flaws or defects discovered
- Update spreadsheet Column D with inspection status
- Add inspector initials and findings notes
Step 3: Repacking Documentation
When preparing the consolidated shipment:
- Capture the complete repacking process:
- Photo of all items laid out before packing

- Final package sealed with label visible
